JOB DESCRIPTION
Position: Compliance, Monitoring & Support Officer
Reports To: Head of Department
- Role Purpose
To ensure operational excellence by enforcing SOP compliance, monitoring system usage, supporting staff in system-related activities, and ensuring accurate and timely data capturing across the department. The role acts as the departmental custodian of SOPs, operational standards, and system workflow integrity.
- Key Responsibilities
A. Compliance
· Ensure all staff follow approved SOPs, operational standards.
· Act as the custodian and advocate of departmental and sub-department SOPs.
· Continuously review and update SOPs to align with real operational conditions and system workflows.
· Conduct routine compliance checks at offices, CFS/ICD, border points, and operational areas.
· Identify non-compliance gaps and escalate issues with clear corrective recommendations.
· Provide support and training to staff to ensure correct system usage and adherence to procedures.
B. Monitoring & Evaluation
· Monitor data capturing in real-time to ensure all required information is entered accurately and on time.
· Validate closure of trips, tasks, files, and workflows within the system.
· Track system performance and ensure proper usage of internal tools (SAP, TMS, GPS, CFS systems, etc.).
· Identify delays, missing data, or incomplete workflows and follow up with responsible officers.
· Generate daily/weekly performance reports and highlight exceptions for departmental review.
· Work closely with operations teams to ensure field entries match actual ground operations.

C. System Support & Training
· Provide first-level support for staff on system usage and workflow steps.
· Assist team members in troubleshooting minor system issues before escalating to IT.
· Conduct system refresher sessions and hands-on training for new or existing staff.
· Ensure consistent adoption of updates, new features, and revised system processes.
· Recommend system enhancements based on operational needs and observed workflow gaps.
- Qualifications & Skills
· Diploma or Bachelor’s Degree in IT, Logistics, Business Administration, or related field.
· Strong computer literacy and system usage skills.
· Understanding of transport, freight, import/export or CFS/ICD operations.
· High attention to detail and strong problem-solving skills.
· Good communication, follow-up, and reporting abilities.
· Ability to work independently across multiple operational locations.
