Executive Assistant to Chief Technology & Digital Transformation (1 Position)
Job Location: Head Office, HQ
Job Purpose
To provide high-level executive, administrative, financial planning and coordination support to the Chief Technology & Digital Transformation by ensuring effective budget monitoring and reporting, efficient office and stakeholder management, timely preparation of reports and correspondence, proper documentation and records management, and coordinated planning of departmental resources, headcount and key technology workstreams to enable smooth execution of the department's strategic priorities.
Main Responsibilities
Financial Planning, Monitoring & Reporting
- Review all administrative departmental budgets to actual reports on monthly basis identifying any areas of concern.
- Conduct monthly/quarterly budget meetings with all sections within the department.
- Recommend requisitions and check requests verifying budget sufficiency and proper charge codes.
- Work with managers in the department and Finance Department to complete yearly OPEX and CAPEX budget requests and justifications.
- Review operational and financial records and reports and make recommendations for improvements.
- Conduct research to prepare forecasts of future financial/business conditions using multiple scenarios and review trends impacting Technology, Operations and key technology projects.
- Analyze budget performance including actual and budgeted expenses.
- Conduct cost-benefit analyses to support management decisions and create financial models.
- Monitor budget performance and develop policies for budget monitoring and control.
- Prepare special management reports for EXCO on departmental initiatives and financials.
- Assist cost center managers in budget preparation and interpretation.
- Coordinate and consolidate analytical reports and presentations for the Technology & Digital Transformation portfolio.
- Assist with routine and ad hoc reports.
- Coordinate performance management meetings, scorecards and performance tracking.
Administrative
- Act as the first point of contact for internal and external inquiries.
- Assist the Chief Technology & Digital Transformation with scheduling meetings, interviews, appointments and calendar management.
- Serve as secretary for departmental top management meetings.
- Attend meetings, take minutes and track action items to completion.
- Support Heads of Department in coordinating workflow and work pipelines.
- Exercise discretion in handling confidential documents and records.
