JOB VACANCY ANNOUNCEMENT

The Executive Director of Bahi District Council invites applications from suitably qualified Tanzanians to fill eight (08) vacant posts in the Council after obtaining approval from the President’s Office – Public Service Management and Good Governance, as detailed below:

1.0 ASSISTANT RECORDS OFFICER GRADE II – 05 POSTS

1.1 DUTIES AND RESPONSIBILITIES
i. Register incoming correspondence in the Incoming Correspondence Register.
ii. Register outgoing correspondence in the Outgoing Correspondence Register.
iii. Distribute files to Action Officers.
iv. Receive files returned to the registry from officers.
v. Retrieve records/documents or files required by officers.
vi. Return files to shelves/filing cabinets or other designated storage areas.
vii. Track the movement of files within and outside the institution.

1.1.1 QUALIFICATIONS
Applicants must have completed Form Four or Form Six education and hold a Diploma (NTA Level 6) in Records Management from a government-recognized institution, with computer skills.

1.1.3 OFFICE TYPIST GRADE II – 03 POSTS

1.1.4 DUTIES AND RESPONSIBILITIES
i. Type routine and confidential letters, reports, and documents.
ii. Receive visitors, listen to their issues, and direct them to appropriate assistance.
iii. Maintain records of events, appointments, meeting dates, official travels of the supervisor, and other work schedules.
iv. Retrieve files and documents required for job execution.
v. Receive and distribute files to relevant officers in the respective Department/Unit/Section.
vi. Collect, keep, and return files and documents to relevant areas.
vii. Prepare briefs and make arrangements for various meetings.
viii. Prepare lists of office equipment requirements.
ix. Perform any other duties as assigned by the supervisor.

1.1.5 QUALIFICATIONS
Applicants must be Form Four or Form Six graduates with a Diploma in Secretarial Studies or NTA Level 6 Certificate in Secretarial Studies. Applicants must have passed Kiswahili and English shorthand at 100 words per minute and be proficient in office computer programs such as Word, Excel, PowerPoint, Internet, Email, and Publisher from a government-recognized institution.

GENERAL CONDITIONS FOR APPLICANTS

i. All applicants must be Tanzanian citizens aged between 18 and 45 years, except those currently employed in Government service.
ii. Applicants with disabilities are encouraged to apply and should clearly indicate their disability in the recruitment system for record purposes.
iii. All applicants must attach a detailed Curriculum Vitae (CV) with reliable contact address, telephone numbers, email address, and names of three credible referees.
iv. All applications must be accompanied by certified copies of academic and professional certificates certified by an Advocate/Lawyer, including Form Four or Form Six certificates (where applicable) and relevant professional qualifications.
v. The following will not be accepted: Testimonials, Provisional Results, Statements of Results, Form IV and Form VI Results Slips.
vi. Applicants who studied outside the country must ensure their certificates are verified and approved by relevant authorities (TCU, NECTA, and NACTE).
vii. Applicants who were dismissed from Public Service are not allowed to apply unless they have clearance from the Chief Secretary.
viii. Applicants already employed in entry-level positions in the Public Service should not apply and must adhere to Circular No. CAC.45/257/01/D/140 dated 30th November, 2010.
ix. Submission of forged information or qualifications will result in legal action.
x. The deadline for submitting applications is 4th February, 2026.
